Job Title: South/Southwest Operations Manager Grade: MGT I
Purpose:
The position is responsible for a broad range of financial and administrative functions in the SSW Department including monitoring the budget, payment and tracking of invoices, acquisition and maintenance of equipment and supplies, various personnel management duties, and logistics for training and capacity building.
Responsibilities:
PRIMARY RESPONSIBILITIES: (Any one position may not include all of the specific duties and responsibilities listed. Examples provide a general summary of the work required and should not be treated as a total and complete list of expected duties to be performed by employees in the classification.)
• Assists with compiling annual department budget and monitors the budget on a regular basis including reviewing employee generated costs, campaign expenses and reimbursement to locals. Identifies areas to streamline, reduce expenses and implement changes; provides support to Local Unions and SSW field campaigns on operational needs such as budget, personnel issues, etc.
• Ensures that vendors and contractors are paid correctly and on time, and resolves problems arising with contracts and invoices. Creates and processes contracts. Assists Director and Senior Staff with various vendor management duties.
• Manages various aspects of personnel management; maintains accurate staff lists and charts; assists with recruiting; coordinates bringing new staff on board; manages space issues; assists staff with resolving issues related to pay or expenses. Maintains vacation and leave calendar. Manages facilities and space including distribution of office equipment such as computers, printers, copiers, pagers, cell phone, etc. Assists Director and Senior Staff with scheduling staff meetings; coordinates probation and annual reviews.
• Coordinates key department meetings and department training workshops. Maintains accurate contact lists for local union leaders and staff, and coordinates their meetings and information-sharing.
• Assists Director and Senior Saff with managing various projects.
• Compiles and submits department activity reports to officers and senior staff.
• Performs other duties as assigned in support of the work of the department.
Contacts:
Must be able to represent the International Union with local leaders, members, staff, and outside organizations utilizing independent judgment and a high level of professionalism.
Interfaces with organizational and external contacts, including SEIU staff, officers, division leadership, International senior staff, project and program managers, local union officers and staff, vendors and contractors.
Direction and Decision Making:
This position reports to the SSW Director and works independently.
• Must maintain the highest level of confidentiality in handling SEIU affairs.
• Must be able to work with International and local union elected leaders and senior staff in complex and sometimes politically sensitive situations.
• Must use a high level of judgment and discretion in resolving problems throughout SEIU.
Qualifications:
Education and Experience:
B.A. degree or at least 3 years of experience or 5 years of related work experience or combination of education and experience that would provide for the following knowledge, skills and abilities:
• Proven experience managing operations for large, deadline-driven office, preferably in a communications department.
• Thorough knowledge of administrative and budgetary operations.
• Ability to compile, monitor, and control budget.
• Must have excellent interpersonal skills, with the ability to work with diverse constituents with patience and flexibility. Ability to communicate well and efficiently, both orally and in writing, with leaders, staff, and vendors.
• Must be detail-oriented, self-motivated and self-reliant, with the ability to be flexible and take initiative while performing well within a team. Must have demonstrated ability to manage own work and work of others without supervision.
• Proven ability to handle multiple “priority” projects simultaneously and set and meet deadlines, and ensure that staff team does the same.
• Skilled in the use of personal computer including Microsoft Office software, administration of online database sites such as Sharepoint and Community Zero, proficient with use of the Internet and modern office equipment.
• Knowledge of unions or other advocacy organizations required.
Physical Requirements:
Work is generally performed in an office setting, but may be required to work in other settings to perform the tasks required. Position will require working unusual hours, especially during campaign situations, conferences, and conventions. May require travel and extended work hours.
