Payroll/Accounts Payable Associate

The New York City District Council of Carpenters and Joiners of America is a representative body comprised of eight individual Local unions and 25,000 members. The District Council functions as the voice for thousands of New York City's most dedicated and skilled Carpenters, Millwrights, Dockbuilders, Timbermen, Cabinetmakers, Floorcoverers and Industrial Workers.

We are currently seeking a Payroll/Accounts Payable Associate to process weekly payroll and handle all accounts payable responsibilities.  This position will:

• Prepare full cycle weekly payrolls for two entities; review registers and summaries for accuracy and prepare payroll journal entries. 
• Track & process all stipend payments. 
• Update all employee deductions.
• Review & reconcile year end W2 including Group Term Life calculation.
• Respond to employment related payroll verifications & garnishments.
• Prepare monthly and quarterly benefits contributions (annuity, pension, health & welfare benefits, voluntary deductions), and union dues deductions.
• Prepare information and reports for workers compensation audits.
• Liaise for payroll loan payments, review loan report for accuracy and prepare weekly loan reports and wire payments.
• Review and prepare payments for supplemental insurance. Administer long term disability insurance payments, update changes, contact affiliates and prepare premium payments.
• Handle all accounts payable functions, including preparing Trustees documents.  Prepare, review and process bills.  Reconcile A/P sub-ledger to General Ledger.  Review and resolve vendor outstanding balance statements.
• Maintain current & new vendor files, including W-9 forms.
• Review American Express bills, draft memo to cardholders and ensure that backup documentation is complete.
• Assist with internal audits & external auditors with quarterly reviews and annual audit.
• Other duties as assigned

We are seeking a proactive keen self-starter with a sense of urgency and willingness to learn.  Attention to detail is a must.  To be successful, the chosen candidate must be able to manage multiple deadlines and rapidly changing priorities.

The successful candidate must demonstrate that he or she has:

• 2 years of full cycle payroll experience 
• 1 - 2 years of accounts payable experience
• Associates degree
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
• Knowledge of QuickBooks & ADP a plus
