Confidential Administrative Coordinator

Summary:
UNITE HERE's Food Service Division and the Organizing Beyond Barriers (OBB) program are seeking an activist with proven administrative skills to provide critical administrative coordination to national organizing and training programs. (Organizing Beyond Barriers (OBB) is UNITE HERE's nationally coordinated program to build a progressive alliance of workers and students by teaching, agitating, and inspiring them to fight together for justice.) This position is responsible for assisting in organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. The successful candidate will report to the Food Service Division office manager but will also have significant duties assisting the director of the OBB program and will frequently receive directions directly from OBB leadership. It requires an individual who is resourceful, highly responsible, has a high degree of professionalism and has the ability to do some travel when needed.

Job Responsibilities include ( but are not limited to):

  • Coordinates with the administrative Food Service Division staff and OBB program staff to insure the performance of administrative functions including answering and responding to incoming calls, handling incoming/outgoing mail, filing, processing staff expenses.
  • Develops and manages databases and communication lists.
  • Provides support for field offices and staff including rallies and organizing drives.
  • Assists in planning and coordinating events, including trainings, conferences, organizing drives.
  • Assists in travel arrangements and travel approvals.
  • Works with Food Service Division administrative assistant to ensure all division and OBB invoices are paid.
  • Assists in developing and managing the division and OBB calendars
  • Coordinates with hiring paperwork of new employees, particularly participants in Organizing Beyond Barriers
  • Maintains and orders supplies and equipment.
  • Monitors attendance reporting.
  • Handles confidential and non-routine information with sensitivity.
  • Assists with other projects as needed.

Job Requirements/Qualifications:

  • College degree or equivalent work experience.
  • Union activist or knowledge of labor unions with community, political or other social activist experience.
  • Proven organizational skills and attention to detail with the ability to be flexible and adapt to rapid changes.
  • Experience in database management and report generation along with expertise with Microsoft Outlook, Word, and Excel. 
  • Ability to travel for conferences and large organizing drives.
  • Willingness to work long hours and be flexible on scheduling.
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal and teamwork skills.
  • Capable of multi-tasking in a fast-paced organization.
  • Proven experience at working independently with minimal supervision and as part of a team to complete assignments.
  • Bi-lingual Spanish a plus
